Summary Are you looking for an exciting opportunity to contribute to a dynamic team? We’re seeking a Legal Secretary / Office Manager to provide essential support in general reception, office management, and human resources duties. Collaborate closely with Principals and staff to ensure the smooth operation of our organization.
Job Description What will you do?
- Efficiently handle incoming calls, directing them to the appropriate individuals
- Relay and forward telephone messages promptly
- Provide secretarial and administrative assistance to lawyers, including managing daily time sheets, billings, and meeting/appointment scheduling
- Organize administrative tasks such as procuring stationery, managing packages and deliveries, collecting mail, and restocking pantry items
- Coordinate courier services as needed and prepare proforma invoices
- Support business development initiatives
- Assist in addressing internal communication matters
- Manage various HR tasks, including employee onboarding/offboarding and internship claims
- Handle file opening and KYC requirements
- Coordinate business travel arrangements and reservations
- Maintain expense claims using MS Excel spreadsheets
- Manage conference room bookings
- Ensure the overall upkeep of the office environment
- Provide assistance with any other tasks as required
What will you need?
- Essential minimum of 8 years working experience
- Proficiency in MS Office applications and strong PC knowledge
- Demonstrated independence, initiative, responsibility, attention to detail, confidentiality, and professionalism
- Strong English communication skills
- Ability to multitask and thrive in a fast-paced environment
- Quick learner with the ability to adapt to changing needs
